1. Information we collect
Depending on your relationship with us, we may collect your name, contact details, CV, employment history, qualifications, remuneration, location, availability, role preferences, right-to-work information, communications with us, interview or placement notes, and information you choose to provide through this website.
For clients and other business contacts, we may also collect job requirements, organisation and role details, commercial correspondence, meeting notes and information needed to provide recruitment services.
Please avoid sending special-category information unless it is relevant and requested. Where such information is necessary, we will identify and document an appropriate legal condition for using it.
2. Where information comes from
We obtain information directly from you and may also receive it from referrals, clients, job boards, our Atlas recruitment system, and publicly available professional sources such as LinkedIn. We may combine this information with notes created while providing recruitment services.
3. How and why we use information
We use personal information to respond to enquiries, understand career or hiring requirements, identify and discuss suitable opportunities, introduce candidates to clients with the candidate’s knowledge and permission, arrange interviews, support placements, maintain business relationships, comply with legal obligations, protect our systems and establish or defend legal claims.
Our lawful bases will depend on the activity. They commonly include taking steps at your request before a contract, performing a contract, complying with legal obligations, our legitimate interests in providing and improving recruitment services, and consent where consent is the appropriate basis. We do not send a candidate’s CV to a client without the candidate’s permission.
4. Who we share information with
We may share relevant information with prospective or existing client organisations, but candidate profiles and CVs are only introduced with the candidate’s knowledge and permission. We also use trusted service providers for recruitment systems, email, website hosting, security, document storage and professional advice. They may only use information for the services they provide to us and must protect it appropriately.
We may disclose information where required by law, a regulator or court, or where necessary to protect legal rights and safety.
5. International transfers
Some technology providers may process information outside the United Kingdom. Where this happens, we use an appropriate safeguard or another lawful transfer mechanism and assess the protection provided.
6. How long we keep information
We keep information only for as long as it is needed for the purpose for which it was collected. Recruitment information is retained while we are actively supporting your job search or maintaining a relevant professional relationship, then reviewed and securely deleted or anonymised when it is no longer needed. We may keep limited information for longer where required by law, for financial records, or to establish, exercise or defend legal claims.
7. Security
We use proportionate technical and organisational safeguards designed to prevent unauthorised access, loss, misuse or disclosure. Access is limited to people and service providers who need the information for legitimate business purposes.
8. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information; object to processing; receive certain information in a portable format; and withdraw consent where we rely on consent. These rights are not absolute and may be subject to legal exemptions.
